JOB DESCRIPTION

The primary role of the Program Administrator is to oversee the Project Unity COVID-19 testing sites and manage the administrative duties of this free community testing program that addresses the needs in under served areas around Dallas County. This includes working with testing partners, site partners, vendors and heavy interface with the community. Administrative functions include managing supplies, tracking and reporting results, and creating promotional materials. This role requires someone who has interest in the health and safety of the community.

JOB DUTIES

  • Assist with site set up and breakdown of test site daily
    • Event signage
    • Tables and chairs
    • Distributing and collecting supplies to testing stations
    • Food and beverage
  • Learn all non-testing station functions in order to work those areas when needed
    • Intake Station duties
      • Review and collect HIPAA form from individuals
      • Screen for symptomatic or asymptomatic testing; direct to appropriate station
    • Greeting Station duties
      • Greet and welcome individuals
      • Review paperwork
      • Issue hand-sanitizer, masks
    • Intake Form Distribution duties
      • Distribute paperwork to individuals in the vehicles; give instructions on how to complete paperwork; distributes pens and masks, if needed
  • Monitor the site flow and pace each station
  • Interact with individuals and answer questions
  • Collect employment requests for test results verification and follow up
  • Identify and resolve issues with best judgement; escalate issues as needed
  • Direct volunteers and assign roles
  • Work with vendors and testing partners, as needed
  • Copy patient paperwork at the end of each testing day and give copies to lab partner
  • Coordinate the receipt of patient results per site with lab partner daily
  • Call individuals with positive test results and respond to general calls for results
  • Relay patient care information and hold individual’s results in confidence
  • Work with lab partner to resolve issues with the lab results portal
  • File and store testing results at Project Unity office; adhere to HIPAA guidelines on confidentiality
  • Input results in tracking database; provide daily and weekly testing results
  • Assist with creating and updating promotional flyers
  • Sign and collect catering receipts
  • Other duties as assigned or identified to help each site run efficiently and successfully

SKILLS AND QUALIFICATIONS

  • Proficient with Microsoft Office Suite – Word, PowerPoint, Excel
  • Computer literate; experienced user a must
  • Utilize professional phone etiquette and provide exceptional customer service
  • Extremely organized and understands filing system
  • Good verbal and written communications skills
  • Resourceful and requires minimal direction on tasks
  • Responds well to a fast-paced environment
  • Manages time efficiently and prioritizes tasks to achieve results
  • Professional attitude and demeanor; exhibit professional behavior
  • Possess sound judgement and maintain a tactful demeanor during difficult situations
  • Provide positive and encouraging experience to all on-site

PHYSICAL RESPONSIBILITIES

  • Must be able to stand and walk for various lengths of time
  • Must be able to lift or move supplies/materials weighing up to 20 lbs
  • Must be able to tolerate outdoor working conditions
  • Ability to consistently perform duties safely and successfully
